Completing a Cashup
You’ll need to ensure your staff are completing the ‘cashup’ function on the POS at the end of the days trade. This needs to be after your last sale has gone through and before Loaded ‘rolls over’ to the next trading day (this is set as a default at 7am). The roll over period on Loaded can be changed under your 'Reporting Preferences' at the bottom of the Reports Module. Once the cashups are happening at your POS, you can start using Loaded Cashups. To find out how to 'cashup' your till refer to your POS user manual. (WizBang User Manual, pg.25)
Below is the cashup home screen. It shows all the completed cashup for the week, and the variances. Any pending cashups (usually only previous days) that you haven’t completed will be under ‘Pending Cashup’. To complete the pending cashup, click on ‘Complete’ on the right hand side of the pending cashup. You can navigate between weeks and months the same way as reports.
Below is a blank cashup; you need to enter the data and commit the cashup. First you need to enter your cash amount (the amount on top of your float at the end of the day). You can enter it per till or in the total column. To enter click on the blue actual cash figure which will always be $0.00 in a pending cashup. For each till you can enter the total amount, or click on the calculator and enter the amount of each note and coin type and Loaded will work out the total for you.
Once you have entered your cash amount, you need to ensure all other tender types are correct. If you have integrated Eftpos this should always be correct, however if you are using non-integrated (not linked to your POS) you may have some variances.
If you use integrated Eftpos you may not have to edit the ‘Actual Other’, however you may need to add certain tenders not put through the till correctly, such as a cheque put through as cash or a Prepaid account. Click on Add and select the tender type missing and enter the amount. If you are using non-integrated eftpos there will likely be minor variations in your Eftpos amounts due to staff hitting the incorrect tender type. This will likely balance out with your cash variance however.
Once you are happy with the actual cash and other tenders entered, click on the ‘Commit Cashup’ button. Loaded will then take you back to the Cashup home screen, where your cashup will now be in ‘Completed Cashups’. You can go back and change details by clicking ‘View’ then ‘Edit Cashup’ from the home screen.
